The Assistant Apartment Manager serves as the primary contact within the onsite property administration offices and participates in a variety of activities. The Assistant Apartment Manager is responsible for the facilitation and execution of responsibilities within three main focus areas: general sales and marketing tasks involving new and repeat leasing, creation and execution of lease administration functions, and general accounting and bookkeeping transactions and reporting. This role also provides a high level of customer service to both prospective and current tenants and partners with the On-Site Manager as well as the maintenance team to ensure tenant satisfaction. The Assistant Apartment Manager routinely functions with little to no supervision and may be called upon to assume a leadership role in the absence of the On-Site Manager.

RESPONSIBILITIES
- Oversees the appearance and condition of the model units and ensures they are available for viewing during normal business hours. Utilizes effective marketing strategies to escort prospective tenants through unit showings, demonstrating the highlights and functioning of the unit and property.
- Utilizes solid customer service skills to successfully convert telephone and walk-in inquiries into new business through the use of marketing materials and follow up communications.
- Proactively develops and maintains professional relationships with existing tenants and encourages lease renewals.
- Obtains and processes all prospective tenant data required for lease consideration. Conducts credit and background checks as required and facilitates the completion of the lease application process. Initiates and maintains all files and records pertaining to the lease application while adhering to the strictest of applicant confidentiality guidelines.
- Partners with Maintenance Technician to ensure rental units are ready for occupancy when required and performs unit inspections with new tenants. Addresses and resolves any concerns.
- Reviews informational materials with new tenants and ensures a smooth transition for them.
- Collects, records, and deposits tenant rental unit payments, application fees, and security deposits.
- Assists in the development and execution of legal documentation for tenant actions when necessary.
- Monitors and maintains vacancy activity reports and unit transition activities.
- Prepares and processes tenant service requests.
- Facilitates the completion and distribution of community materials such as newsletters and flyers.
- Develops and maintains strong professional relationships and interactions with tenants, property maintenance staff, external vendors and suppliers, and internal staff.
REQUIREMENTS
- Minimum of 2-4 years previous experience functioning as a leasing consultant, business development associate, or apartment manager for a property management firm. Will consider related experience such as residential/commercial real estate or mortgage professionals.
- Looking for demonstrated interpersonal skills and customer service minded behaviors including relationship building, negotiation, and effective verbal and written communication. Must be able to address delicate tenant related concerns and facilitate timely solutions.
- High School Diploma or equivalent is required.
- Must possess current driver’s license and clean driving record. Must possess reliable, insured transportation, accessible and suitable for use at all times in order to respond to emergency calls.
- Ideal incumbent will possess familiarity with general marketing skills including the creation of basic visual materials.
- The successful candidate will demonstrate the ability to provide superior customer service while processing of resident concerns including taking work orders and resident payments.
