Property Manager

The Property Manager serves as the supervisory leader for the property. With no immediate supervision, the Property Manager is responsible for the daily operations of a single property. This includes, but is not limited to: staff supervision, tenant relations, the property’s fiscal performance, business development activities, government compliance, and marketing presence. The Property Manager is expected to function as the representative for the property and the property management firm through attendance and support of community events, business networking functions, tenant enrichment programs, and management company meetings/events. This role requires superior customer service skills and the ability to provide strategic leadership and development services in order to maintain the overall condition, appearance, and profitability of the property.

RESPONSIBILITES
- Participates in the recruitment and selection of on-site personnel. Ensures that all employees have completed necessary training and new hire activities and files are maintained in accordance with all local and federal compliance statutes. Understands and adheres to all Department of Labor guidelines as stipulated.
- Proactively addresses any employee performance concerns and documents employee meetings and disciplinary actions taken. Completes all employee performance appraisals as scheduled and facilitates dialog with employees to address their needs and concerns.
- Completes staff schedules and task delegation regularly. Follows up to ensure the property is appropriately staffed at all times.
- Actively strives to function as a servant leader. Diligently strives to create and maintain a healthy, safe, productive work environment by encouraging cooperation, teamwork, mutual respect, professionalism and high customer service standards. Solicits feedback from employees regularly.
- Communicates any changes or updates to property management policies and procedures to all employees in a timely manner.
- Partners with Regional Property Manager to create and finalize annual operating budget, including occupancy goals, operating expenses, expected payroll expenditures, and proposed improvement projects. Plans and communicates objectives on how goals will be achieved and understands execution strategy. Monitors progress monthly and reports on discrepancies. Maintains responsibility for goal achievement throughout fiscal year.
- Establishes and maintains professional relationships with external vendors and service providers. Negotiates terms and finalizes service contracts. Maintains cost efficiency as per budget guidelines.
- Conduct daily property inspections. Assigns on-site personnel to address concerns as needed.
- Addresses and attempts to resolve all escalated tenant concerns. Adheres to property management guidelines as well as local and federal statute.
- Ensures that all internal staff, external vendors and service providers, as well as tenants proactively behave in a manner consistent with property management guidelines, and local and federal law, including the adherence to all safety and “good neighbor” expectations. Proactively addresses and corrects violations.
- Inspects the appearance and condition of the model units and ensures they are available for viewing during normal business hours. Utilizes effective marketing strategies to escort prospective tenants through unit showings, demonstrating the highlights and functioning of the unit and property.
- Utilizes superior customer service skills to successfully convert telephone and walk-in inquiries into new business through the use of marketing materials and follow up communications.
- Gathers and reviews data from market surveys and other informational sources as needed. Communicates noticeable changes in market condition with Regional Property Manager.
- Proactively develops and maintains professional relationships with existing tenants and encourages lease renewals.
- Performs lease administration tasks as needed or in the absence of the Assistant Apartment Manager.
- Champions the property’s Resident Retention and Lease Renewal Programs. Activities may include participation in newsletters, community meetings, and tenant recognition programs, personal calls, and tenant visits.
REQUIREMENTS
- Minimum of 5 years previous experience functioning as an apartment manager for a property management firm. Current certification as a National Apartment Leasing Professional (NALP) or Accredited Residential Manager (ARM) is preferred.
- Looking for demonstrated interpersonal skills and customer service minded behaviors including relationship building, negotiation, and effective verbal and written communication. Must be able to address delicate tenant related concerns and facilitate timely solutions.
- Must be willing to work an adjusted or flexible schedule including weekend days. Serves as the “On-Call” first responder to tenant emergency calls when scheduled to do so.
- Must possess current driver’s license and clean driving record. Must possess reliable, insured transportation, accessible and suitable for use at all times in order to respond to emergency calls.
- Demonstrated financial analysis and reporting comprehension. Proven accounting and bookkeeping knowledge suitable to the real estate and property management industry.
